Keep This Updated

A compliance tracker is only useful if it is kept up to date. Update it every time a certificate is renewed. Set calendar reminders 8 weeks before each expiry date — this gives you time to book a contractor and receive the certificate before the deadline. Letting a property with an expired Gas Safety Certificate is a criminal offence.

How to Use This Tracker

Complete one row per property. Update the 'Current expiry' and 'Next due' columns each time a certificate is renewed. The 'Status' column should be updated to reflect: Valid, Due within 8 weeks, Overdue, or Exempt (where a valid exemption is registered).

Gas Safety Certificate (CP12)

Required annually for every property with gas appliances. Must be carried out by a Gas Safe registered engineer.

Legionella Risk Assessment

Required for all rental properties. No fixed renewal period — review when there are changes to the water system or tenancy. Typically every 2 years as best practice.

Legal Note: Failure to have a valid Gas Safety Certificate is a criminal offence under the Gas Safety (Installation and Use) Regulations 1998. Failure to have a valid EICR is a breach of the Electrical Safety Standards in the Private Rented Sector (England) Regulations 2020. Both can result in unlimited fines and/or imprisonment.
