Collect the tenant's forwarding address at or before check-out. Required for deposit return and final correspondence.

What to Collect:

  • Full name of each tenant
  • New address (full postcode)
  • Move-in date at new address
  • Contact telephone number
  • Contact email address
  • Tenant signature and date

Why It Matters:

  • Deposit scheme requires a forwarding address to process return
  • Needed to send deposit return letter and any deduction schedule
  • Required if any post-tenancy correspondence is needed
  • Useful if a deposit dispute arises after the tenancy ends

Data Protection:

  • Retain for the duration of any deposit dispute plus 6 years
  • Do not share with third parties without consent
  • Covered by your GDPR Privacy Notice served at tenancy start
