Mid-Tenancy Property Inspection Report

Structured report for recording the condition of a property during a mid-tenancy inspection. Documents compliance with tenancy obligations, identifies maintenance issues and creates a contemporaneous record.

Important Legal Note

You must give at least 24 hours' written notice before entering a property. Entering without notice (except in genuine emergency) is a breach of the tenant's right to quiet enjoyment and may constitute harassment under the Protection from Eviction Act 1977.

Mid-Tenancy Property Inspection Report

Regular inspections — typically every 3–6 months — allow you to identify maintenance issues early, check the property is being looked after, and build a contemporaneous record of condition throughout the tenancy.

Before the Inspection:

  • Give at least 24 hours' written notice (Landlord and Tenant Act 1985, s.11)
  • Agree a convenient time with the tenant
  • Bring the previous inspection report for comparison

What the Report Covers:

  • Exterior — roof, gutters, walls, windows, garden
  • Each room — walls, ceiling, floor, windows, fixtures, fittings, cleanliness
  • Kitchen — appliances, ventilation, signs of damp
  • Bathroom — seals, ventilation, signs of mould
  • Heating and hot water — boiler, radiators, controls
  • Safety — smoke alarms tested, CO alarm present, fire escape clear
  • Maintenance issues identified — description, urgency, action required
  • Tenancy compliance — unauthorised occupants, pets, subletting
  • Overall condition rating — good / satisfactory / requires attention

After the Inspection:

  • Send a copy to the tenant within 5 working days
  • Log any maintenance issues in the maintenance request log
  • Follow up on any tenancy compliance concerns in writing
